Use Subcontractors
Long Term

A lot of firms have been told the same old rubbish for years.

That you cannot use subbies long term. That HMRC will automatically have a problem with it. That the only safe route is a payroll company. That is exactly the kind of confusion this book clears up.

At HardHats, we help construction firms understand how subcontractor arrangements actually work in the real world, what HMRC really cares about, and how to create a setup that makes sense commercially and stands up properly.

This book explains the framework in plain English, so you can understand your options clearly and stop relying on second-hand advice.

Alex and the team at Hardhats were excellent from start to finish. Communication was clear, helpful and prompt throughout, and nothing ever felt like too much trouble. Alex in particular went above and beyond to make sure everything was sorted smoothly, which made a real difference. It’s always appreciated when people take genuine care in what they do, and that definitely came through here. I wouldn’t hesitate to recommend them.

The team at HardHats have been brilliant - they were great walking through the contracts with me and then sending to our subbies and collating the contracts back. We have no issues and would highly recommend. :)

I have been with Hardhats for a few years now and can honestly say its one of the best decisions I have made for my company. It has taken the stress and worry out of working with Sub-Contractors at a price that is affordable. They have also given me invaluable advice and are always updating me on any changes or news from the Government. Highly recommend.

HardHats solved the problem of providing a contract for services and insurance should HMRC deem our relationships with our sub-contractors to be as de-facto employees. Dan and Ash were helpful, friendly and able to answer the questions we had about our existing contract before we signed up. If you have any concerns about whether HMRC may deem your sub-contractor relationship as a de-facto employee one, get in touch with them

Ashley of Hardhats gave fantastic advise and support when dealing with IR35 issues that my business needed to professionally resolve with sub contractors. The final contracts issued were underwritten by a major insurance company to cover risks. I would highly recommend them to anyone who may need similar assistance in understanding the legal minefield that is IR35.

Hard Hats have provided us with peace of mind regarding our sub-contractors and our legal responsibilities. They are always at the end of the phone or email. The service they provide is of a high quality and very good value.

Don’t Just Take
Our Word for It

Here’s what construction firms say after working with HardHats.

You can then keep the testimonials in card format. I’d tighten the heading styling and keep the body quotes pretty much as they are, because they are strong social proof. Just standardise the formatting.

What This Book Actually Helps You Understand

This is not a fluffy brochure and it is not a sales pitch disguised as a guide.

It is a practical resource built to help construction firms understand:

  • How HMRC actually looks at subcontractor status
  • Where firms commonly get things wrong
  • How to keep flexibility without creating unnecessary risk
  • How to keep control without relying on payroll companies
  • What a proper subcontractor setup should actually look like

It is written for real businesses running real sites, not for lawyers trying to impress each other.

Why Firms Request
the Book

  • They want a clearer understanding of where they stand
  • They are tired of mixed messages and scare tactics
  • They want to know whether their current setup makes sense
  • They are thinking about moving away from payroll companies
  • They want straight answers before they speak to anyone

The HardHats approach is built around how subcontractor arrangements are actually assessed in the real world, with proper structure, clear boundaries and practical support.

What You’ll Learn in the Book

1. How HMRC actually assesses subcontractor status

What matters, what does not, and why day-to-day working practices carry far more weight than myths and assumptions.

2. Where most firms accidentally get it wrong

The common mistakes that create risk over time, often without anyone spotting it.

3. How to keep flexibility without employment issues

How firms keep the benefits of using subcontractors without drifting into a setup that causes problems later.

4. How to stay in control without using payroll companies

Why many firms are rethinking payroll company dependency and what the alternative can look like.

That means:

  • Contracts that match real life on site
  • Working practices that make sense
  • Flexibility without unnecessary risk

WE DON’T JUST SORT COMPLIANCE… WE TEACH YOU HOW IT WORKS

Most firms are told to “just stick your subbies on a payroll company” and assume that solves the problem.

It doesn’t.
HMRC doesn’t care who runs payroll.
They care about working practices and control.
That’s why firms still get caught out even when there’s a third party involved.

We do things differently.
